Client Success Story: How MSECA Boosted Volunteerism to Expand Their Impact

Volunteer engagement is the lifeblood of any successful associationbut when too much responsibility falls on a small group, burnout is inevitable. That was the challenge facing the Midwestern States Environmental Consultants Association (MSECA), where the board of directors was responsible for planning all events.

Identifying the Challenge

According to Brian Lewis, MSECA’s board was handling the full weight of event planning. While deeply committed, this small group was becoming overwhelmed, increasing the risk of burnout and limiting the association’s ability to grow and innovate. A new approach was needed to expand engagement and bring in fresh perspectives.

A Strategic Solution: Topic-Based Workgroups

To address this, MSECA introduced topic-based workgroups aligned with key industry focus areas. Each group was responsible for developing event programming, from identifying relevant topics to shaping session content and recruiting speakers.

This approach allowed MSECA to engage volunteers based on their expertise and interests, creating a more distributed and sustainable model for leadership and content development.

Results After Three Years

After three years, the impact has been significant:

  • More than 70 active volunteers across eight workgroups
  • 16 days of virtual programming
  • 11 days of in-person events

Board members remain involved but no longer carry sole responsibility for event planning. The result is a more engaged membership base, stronger programming, and a more sustainable volunteer structure.

Looking Ahead: Continued Growth and Evolution

Building on this success, MSECA continues to evolve its volunteer model. In 2026, the workgroups transitioned into Collaboration Groups, expanding their role beyond event planning to include peer connection and real-world problem solving.

This flexible structure positions MSECA for continued growth, including state-based expansion, beginning with Ohio in spring 2026. By empowering members to connect and contribute in meaningful ways, the association is extending both its reach and its impact.

A Partnership Built for Success

This transformation was supported through collaboration with RGI, which worked with MSECA to design and implement a scalable volunteer structure. Together, they developed a model that expands participation, supports high-quality programming, and reduces reliance on a small group of leaders.

MSECA’s experience demonstrates that increasing volunteer engagement isn’t just about recruiting more people, it’s about creating the right structure for them to contribute.

At RGI, we’re proud to help associations like MSECA turn challenges into opportunities through thoughtful strategy and strong partnerships.
