The Situation

As part of its 100th Anniversary, Kiwanis International sought to create a large-scale community celebration to highlight its partnership with IHOP and engage both attendees and the local Indianapolis community. To bring the concept to life, Kiwanis engaged Raybourn Group International’s meetings services to plan and manage the “Monumental Pancake Party,” an outdoor activation designed to serve thousands of guests in a short time while operating safely in a public setting. The event required expert coordination across sponsors, vendors, volunteers, and city agencies to deliver a memorable experience at scale.

Our Approach

RGI led the planning and execution of the event from concept through on-site operations at Monument Circle in downtown Indianapolis. The team coordinated closely with city officials to secure permits, worked with the local health department to ensure compliance with temporary food service regulations, and collaborated with police, fire, and emergency response teams to develop a comprehensive safety plan. RGI also managed event logistics including food production, crowd flow, volunteer coordination, vendor management, and sponsor integration to create a seamless large-scale public experience that put Kiwanis’ charitable works and IHOP’s famous pancakes front and center.

Delivered Results

The Monumental Pancake Party successfully served thousands of pancakes to more than 6,000 people, creating a memorable celebration for convention participants and the community. The event generated strong in-person engagement and publicity for both IHOP and Kiwanis while demonstrating Raybourn Group International’s ability to deliver complex public events that require multi-agency coordination, large-scale food service operations, and flawless on-site execution.
